The 7 processes every Mexican SMB should automate first

Not the flashiest ones: the ones that eat the most hours, leak the most money and need the least judgment. In this order.

Almost eight out of ten Mexican SMBs say automating is a priority this year, and almost four out of ten admit they do not know where to start. This article is the “where”: the seven processes that, across hundreds of conversations with owners, show up again and again as the ones that take the most time and need the least judgment. That intersection, many hours and little judgment, is exactly where automation pays first.

The rule for choosing

Before the list, the rule. A process is a good candidate if it meets three conditions:

  • It happens often. Daily or several times a day, not once a quarter.
  • It follows almost always the same steps. If you can explain it on one page, it can be automated.
  • Errors are cheap and visible. If something goes wrong, someone notices quickly and it is easy to fix.

With that in mind, in order of impact:

1. Following up on leads and quotes

The one that leaks the most money. Someone asks for a price, gets a quote, and nobody writes again. Automating it means every unanswered quote gets a message after 2 days, another after 5 and a last call after 10, in your best salesperson’s tone. With this alone, businesses that sell on WhatsApp recover sales they had written off.

2. Confirming and reminding appointments

For clinics, salons, workshops, consultancies: every unconfirmed appointment is an empty chair that cost the same as a full one. Automation confirms the day before, reminds two hours before and offers to reschedule with one tap. No-shows drop immediately and measurably.

3. Payment reminders and collections

Nobody enjoys asking for money, so it gets postponed, and cash flow pays for it. An automatic sequence sends the friendly reminder before the due date, the firm one on the day, and escalates to a person after 15 days. It is the process where it shows most that the machine feels no embarrassment.

4. The frequent questions that arrive on WhatsApp

6. Order and delivery status updates

7. Receiving and filing documents

Supplier invoices, payment receipts, bank statements, customer IDs. They arrive by email and WhatsApp and someone downloads, renames and files them. What you should not automate first

  • Anything that needs judgment. Negotiating a discount, deciding whether to accept a return outside policy, answering a furious customer. That gets escalated to a person; automation only detects it and delivers it with context.
  • Processes that change every week. If you do not yet know how it is done, do not automate it; stabilize it first.
  • What happens twice a year. The cost of automating it is never recovered.

How to start without regret
